Your family’s information

Privacy Policy

What we collect, why, who sees it, how long we keep it — in plain English, because most of the information we hold is about children.

Version 1.1 — effective 11 September 2026.

Bright Berry Education teaches children, which means we hold information about families that deserves real care. This policy explains, in plain English, what we collect, why, who sees it, how long we keep it, and your rights. It applies to this website, to our enquiry and enrolment process, and to lessons.

1. Who we are

The "controller" of your information is Jenny New, trading as Bright Berry Education, of 7 Whitehead Drive, Kenilworth, CV8 2TP. Contact us about anything in this policy at jenny@brightberry.co.uk or on WhatsApp at 07457 414101. We are registered with the Information Commissioner's Office (registration number [ICO REGISTRATION NUMBER]).

4. Children's information

Most of the information we hold is about children, so we hold ourselves to the standards of the ICO's Age Appropriate Design Code: we collect only what the service needs, we never use children's information for marketing or advertising, we never sell it, and we explain recording to Students in an age-appropriate way (and ask you to as well). Requests about a child's information can be made by a parent or carer, or by the young person themselves where they have sufficient understanding.

5. Who we share it with

6. How long we keep it

InformationKept for
Lesson recordings30 days, then deleted — unless needed for a safeguarding or complaint reason, in which case only as long as that reason requires
Enquiries that don't become enrolmentsUp to 12 months, then deleted
Contracts, Enrolment Summaries, acceptance records, invoices7 years after our relationship ends (legal limitation and tax rules)
Learning-needs / wellbeing informationFor the duration of tuition, then deleted with the family file
Safeguarding recordsIn line with statutory safeguarding guidance, which can require longer retention; held securely and separately

7. How we keep it safe

Personal information and recordings are stored on encrypted, access-controlled services. Access is limited to Jenny and, on a need-to-know basis, the Student's tutor. Everyone who handles Student information for Bright Berry is briefed on data protection and confidentiality. If a breach occurs that is likely to affect you or your child, we will tell you without undue delay and notify the ICO within 72 hours where the law requires.

8. Your rights

You have the right to ask for a copy of the information we hold about you or your child, to have it corrected or deleted, to object to or restrict certain uses, to receive it in a portable format, and to withdraw any consent you have given (withdrawing consent to recording means we cannot continue lessons, because recording is a core safeguarding control). Email us and we will respond within one month. If you are unhappy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113 — though we would welcome the chance to put it right first.

9. Cookies

This site uses only the cookies it needs to work, plus — if you accept them — anonymous analytics that help us understand which pages are useful. We do not use advertising or cross-site tracking cookies. You can clear or block cookies in your browser at any time without affecting your ability to browse the site, and you can change your analytics choice using the "Cookie settings" link in the footer. Analytics cookies are only set if you choose "Accept analytics".

10. Marketing

We only send marketing email if you have opted in, every message includes an unsubscribe link, and we never market to children. Messages about your child's lessons (schedules, summaries, invoices) are part of the service, not marketing.

11. Changes to this policy

We will post any changes here with a new version number and date, and tell enrolled families about significant changes by email.
